What is the job about?
The responsibility of the Receptionist/Office Assistant is to provide administrative support to our office in Törökbálint.
This position comes with a part-time (6 hours per day) employment contract.
Your main responsibilities:
- Being the first contact for visitors to Törökbálint office by greeting them in person or on telephone, welcoming and directing them appropriately
- Notify Grundfos personnel on site of visitor arrival
- Maintain security by following procedures, monitoring log book and providing safety instructional handbook for visitors
- Coordinate company car fleet
- Maintain safe and clean reception area by following rules and regulations
- Maintain cafeteria by adequately replenishing supplies
- Ensure training centre administrative tasks are handled efficiently during an onsite training class
- Maintain company calendar scheduling for events, visits and meetings
- Monitor meeting room activity as needed, and request meeting room changes as required so to accommodate company activities.
- Responsible for meeting and event coordination; tasks may include scheduling, securing location, hotel accommodations, transportation, catering, A/V, set-up and clean-up, presentation support, entertainment, and expense reconciliation. Will serve as liaison and host to company representatives and visitors.
- Assist with business travel arrangements including airline, hotel and transportation, in alignment with our global travel policy.
- Assist with IT and meeting room A/V system related issues, support problem solving, act as IT Buddy
Your background
We imagine that you have:
- At least Secondary School Certificate
- Advanced education or technical training is preferred.
- At least one years’ experience working in an administrative capacity in an office interacting with customers is required.
- Must possess excellent written, verbal and telephone skills
- Experience yielding calls as a receptionist or within are that interacted with company clients
- Strong knowledge of Microsoft Suite (Word, Excel, Power Point, etc) is needed
- Strong attention to details and organizational skills in managing daily tasks with ability to manage competing priorities
- Ability to work with the public and interface effectively with company employees
- Ability to maintain a professional appearance and behavior in all activities
- Proven ability to work in a fast-paced and at times high pressure environment Experience working with office supply vendors is strongly preferred
- Experience with event planning and the coordination of travel, meeting space, etc is preferred
- Must be dependable and consistently demonstrate regular attendance. Must be able to work overtime when necessary
- Everyday IT problem solving competence is an advantage, expertise in operating and troubleshooting meeting room A/V system is also and advantage
