Are you passionate about delivering exceptional customer service and being the first point of contact in a dynamic, international environment? Join our team as a Front Office Agent and play a key role in supporting our internal sales operations while ensuring a world-class customer experience across multiple communication channels.
Key Responsibilities
As a Front Office Agent (French speaking), you will:
- Act as the first point of contact for customer inquiries via email, phone, live chat, and other digital platforms.
- Provide timely and professional responses to commercial and technical queries, resolving them within 20 minutes when possible.
- Create and manage service requests such as RFIs, RFQs, RFOs, and RFCs, escalating to the appropriate teams when necessary.
- Prepare accurate and tailored offers and quotations based on customer requirements.
- Track and follow up on quotations in line with sales guidelines and service level agreements (SLAs).
- Maintain and update customer data in SAP CRM.
- Manage order modifications including lead times, shipping conditions, and cancellations, in coordination with Sales, Finance, and Supply Chain teams.
- Promote the use of digital tools (e.g., MyGrundfos, Extranet) to enhance customer experience.
- Ensure compliance with local quality, environmental, health, and safety standards.
- Support ad hoc tasks and projects as assigned by leadership.
Your background:
- Associate’s or Bachelor’s degree in Customer Service, Engineering, or a related field, or 1–3 years of relevant work experience.
- Strong background in customer service and administrative processes.
- Familiarity with business structures, sales processes, and market needs.
- Proficiency in MS Office and CRM systems (preferably SAP).
- Excellent communication and interpersonal skills.
- Fluent in English and French (written and spoken).
