What is the job about?
Support for China Country President Office -daily operation, key activity support, internal/external alignment and coordination
Support China Level Community Engagement -including CSR and Volunteering Activity
Support China Level Benefit communities -including country activities e.g. family day, new year celebrations, sports and other events
Your main responsibilities:
- Serves as a steward of highly confidential information and acts as a trustworthy liaison between China President and internal/external stakeholders.
- Support Country level key activities including internal meetings and key stakeholder alignment, external events reception, travel, hotels arrangements.
- Coordinates advancement related events, meetings, and activities including internal and external communication events and initiatives; draft and edit communication materials, e.g. group email, company newsletter/intranet posts
- Support China President Office Ad-hoc activities e.g. reimbursements, contract signing, documentation of files.
- Performs a variety of clerical duties in support of the team, including filing needed materials, preparing meeting slides; preparing and processing expense reports; on slide decks and other documents in support of the department’s activities;
- Other tasks for China President Office development needs
- Coordinate with Benefit Committee (BC) members in different regions to organize continuous and diverse employee activities & benefit events.
- Support crucial BC projects and events implementation for sales companies, including key branch offices in China.
- Assist in the design & setup of BC events and the procurement of materials.
- Coordinate with BC team to promote employee satisfaction through other various forms of interaction, and continuously support building the best employer brand.
- Support China Level CSR activities
as key coordinator by working with Corporate Strategy Team
- Materials and case collection for sustainability content
- Support local volunteering activities
in Shanghai, Suzhou and Changshu or other important sites of Grundfos
- Hand-on work including daily coordination, submission of forms, contract preparation etc.
- Performs a variety of documentary materials, preparing meeting slides
Your background
- Bachelor or Master degree in relevant field
- 5+ years of relevant work experience with Executive Assistant and preferable CSR & Community engagement experience – in a global organisation
- Strong background in daily administrative work
- Master, fluently spoken and written English
- Experienced in working effectively with multiple stakeholders with competing priorities
- Wiling to work closely with team members to achieve goals and solve challenges together
- Can take pressure under tight timelines
- Adapt to the flexible working hours due to the characteristics of global business setup
