As our new Administration & Facilities Executive, you will be ensuring the smooth day-to-day operation, maintenance, and safety of our office facilities while providing essential administrative support across the organization. What you will be doing

As a key part of the Business Support & Facilities team, you'll create impact by Maintaining a safe, efficient, and welcoming workplace environment that empowers our teams to focus on pioneering water technology solutions..

Your main responsibilities include:

  • Manage vendor relationships and oversee service quality for cleaning, security, pantry, and maintenance providers, including contract renewals and billing verification
  • Coordinate yearly renewals of licenses, permits, assessment tax, land tax, and other regulatory requirements to ensure full compliance
  • Handle telecommunication billing across all lines, verify charges, maintain records, and resolve discrepancies with service providers
  • Manage employee-related items including uniforms, safety shoes, welcome packs, and annual calendars — from ordering through distribution and record tracking
  • Support workplace safety and emergency procedures, acting as the point-of-contact for facility-related issues and arranging repairs or replacements as needed
  • Coordinate travel arrangements and manage annual travel insurance enrolment, renewals, and accurate record keeping for employees

 

What makes you a great fit

Above all, you are a detail-oriented and proactive professional with strong organizational skills, a knack for juggling multiple priorities, and a genuine commitment to keeping office operations running seamlessly. We would also imagine that you have:

  • Diploma or Bachelor's Degree in Business Administration, Facilities Management, or equivalent
  • 2-3 years of experience in administration, facilities, or office management
  • Proficiency in Microsoft Office (Word, Excel) with strong organizational and time-management skills
  • Good communication and interpersonal skills with the ability to manage multiple tasks independently

It is a plus if you also:

  • Knowledge of basic workplace safety regulations and facilities operations
  • Experience managing vendor contracts and service-level agreements
  • Familiarity with regulatory compliance processes such as license and permit renewals
