Purchasing Coordinator

What is the Job all about?

 

We are looking for a proactive and detail-oriented Purchasing Coordinator – Indirect Procurement to manage daily ordering and purchase order (PO) activities, ensuring all orders placed through QP and Ariba are processed and delivered on time. This role carries end-to-end responsibility for indirect procurement operations, including vendor management and master data maintenance. The ideal candidate will have strong organizational skills, experience with procurement systems, and the ability to collaborate effectively with internal and external stakeholders to ensure smooth and efficient purchasing processes.

 

Your main responsibilities:

 

  • Support to convert Purchase request to Purchase order, coming from Ariba, handle order confirmations
  • Provide daily support in Indirect daily ordering activities and in all relevant processes such as material master and vendor management. Make sure all processes in scope and well done according to standard KPIs of the area
  • Open and continuously learn and increase level of process knowledge and expertise
  • Responsible for E2E activities and carefully follow up on orders, using ZDMOPD/ME2N (delivery time, partial delivery, missing materials etc)
  • Handle Vendor Invoice Management
  • Support indirect daily ordering process in general, answering for questions coming from end users/ requestors locally
  • Create and maintain Framework orders, share and communicate them towards end users and suppliers in their own area
  • Execute ad-hoc activities given by Supervisor or Management
  • The Purchasing coordinator need to be clear with all Purchasing related processes and principles in place and capable to use them, such as local DOA rules etc.
  • All other process related tasks and activities what are requested by the line manager

 

Your background:

 

  • Minimum of 1 year experience in similar role
  • University or college degree in management, accounting, or related field
  • Experience indirect and direct sourcing and/or operational procurement activities
  • Understanding the order flow and related procurement processes is a nice to have
  • Some Procurement system knowledge is a plus
  • Systematic and quality-oriented way of working, following instructions and procedures
  • Ability and willingness to work in a team environment
  • Distinct flexibility and capacity to work under pressure with regard to function and time
  • Sense of duty and responsibility
  • Proactivity in process related improvement ideas
  • Communicative, people oriented
  • Willingness to acquire new skills
  • Analytical mindset, writing and reporting
  • Understanding of the order flow and related procurement processes
  • Proficiency of Procurement systems (e.g. ARIBA,  SAP)
