Lead Purchasing Coordinator

What is the Job all about?

 

We are looking for a proactive and detail-oriented Lead Purchasing Coordinator to manage end-to-end indirect procurement operations, including daily ordering, PO management, vendor coordination, and master data accuracy. This role ensures timely order placement and delivery through ARIBA, supports smooth purchasing workflows, and guarantees the availability of both stock and non-stock materials. As a team lead, you’ll also provide administrative support and serve as a role model in driving operational excellence within a dynamic shared services environment.

 

Your main responsibilities:

 

  • Provide support for team members on Indirect daily ordering activities. Drive process improvement initiatives and actively contribute in cross-functional collaboration and knowledge sharing. Supporting deployment of new processes being an expert on the purchasing area.
  • Representing advanced level of process knowledge and expertise within Indirect OPM and  Data management
  • Support workload distribution and make sure the daily task allocation is done.
  • First point of escalation and make sure the reported issues are addressed to relevant stakeholders.
  • Support to convert Purchase request to Purchase order, handle order confirmations/ having a validation role in the new system, ARIBA.
  • Having a deep understanding/knowledge of our purchasing catalogues and preferred/qualified suppliers and advising what non catalogue orders could be ordered from catalogues/preferred/qualified vendors.
  • Follow up on orders, using ZDMOPD/ME2N (delivery time, partial delivery, missing materials etc) – Understand how supportive AI solution works
  • Handle Vendor Invoice Management to ensure on time payments for suppliers.
  • Support indirect daily ordering process in general, answering for questions coming from end users/ requestors locally and team members.
  • Identify and oversee critical items for production to prevent production stop
  • Contact person between production, suppliers/warehouse and other departments in case of wrong quality/items/delivery date and any/other related issue resolution
  • Knowledge and maintenance of mass Info record, Source list (solid knowledge of SAP- KCP6 and related transactions)
  • Create and maintain Framework orders using the best practice, share and communicate them towards end users and suppliers in their own area.
  • Coordinate and support training of employees within processes.
  • Coordinate and lead work-shadowing/ Roll out activities and ensure standard process splits are followed.
  • Make sure the team backup plan is in place.
  • Execute ad-hoc activities given by Supervisor or Management
  • Lead needs to be clear with all Purchasing related processes and principles in place and capable to use them, such as local DOA rules etc.
  • Support cross departmental collaboration
  • All other process related tasks and activities what are requested by the line manager
  • Propose and lead digitalization and automation agenda within the team (proposal, support etc.)

 

Your background:

 

  • Minimum of 3 years’ experience in similar role
  • University or college degree in management, accounting, or related field
  • Experience indirect operational procurement activities
  • Understanding the order flow and related procurement processes
  • Solid Procurement system (SAP/ARIBA) knowledge 
  • Systematic and quality-oriented way of working, following instructions and procedures
  • Ability and willingness to work in a team environment
  • Distinct flexibility and capacity to work under pressure regarding function and time
  • Sense of duty and responsibility
  • Proactivity in process related improvement ideas
  • Great communication and presentation skills, people oriented
  • Willingness to acquire new skills
  • Advanced adaptability skills, open to continuous changes
  • Analytical mindset, writing and reporting
  • Understanding of the order flow and related procurement processes
  • Proficiency of Procurement systems (e.g. ARIBA, SAP)
  • Being able to analyse root causes and provide suggestions as the expert of the area
  • Advanced level of excel skills
