Lead Facility Coordinator

What is the Job all about?

 

In this role, you will manage day-to-day operations of Grundfos Philippines offices to ensure functionality, compliance, and cost efficiency. You will oversee mechanical systems (BMS, HVAC), security installations, and facility upkeep. In addition, you will coordinate with external providers and lead improvement and upgrade projects in collaboration with Group Facility Management.

 

This position is based in the Grundfos IS Support & Operations Centre Philippines, Inc. (GIS), Ortigas office. It reports to the Country Director Philippines for strategic decisions and dotted line to Administrative and Facilities Manager for daily task alignment. The role also Interfaces with Group Facility Management, Group EHS, Finance, Legal, IS, HR Services, site leaders and external brokers and landlords. 

 

Your main responsibilities:

 

  • Office Operations and Vendor Management
    • Lead daily office operations, manage contracts and SLAs, and maintain a complete contract register.
    • Ensure buildings and facilities are operated and maintained to the highest standards.

 

  • Facility Equipment and Systems
    • Oversee operation and maintenance of mechanical systems (e.g., BMS, HVAC), security installations, and other critical infrastructure.
    • Adjust systems to ensure smooth and efficient operation for all users.

 

  • Permits, Compliance, and Safety Coordination
    • Ensure timely processing of permits and regulatory requirements, including DENR and local government submissions.
    • Oversee compliance with health and safety standards and support hazard walkabouts and safety meetings.

 

  • Local EHS Leadership
    • Act as local EHS coordinator, ensuring compliance with Group H&S standards and Philippine regulations.
    • Maintain SIMS and Sphera reporting, organize safety drills, and support incident investigations.

 

  • Lease, Projects, and Fit-Out
    • Serve as gatekeeper for all real estate leases and agreements.
    • Track lease options, coordinate brokers and site visits, and support delivery of fit-out and upgrade projects in collaboration with Group Facility Management.

 

 

  • Space Planning and Workplace Experience
    • Monitor space utilization, seating plans, and hybrid schedules.
    • Gather employee feedback and implement improvements to enhance workplace experience.

 

  • Standardization and Sustainability
    • Ensure standardization of facility SOPs, including security requirements, badge access, and sustainability initiatives.
    • Drive improvements and cost-saving synergies across facilities.

 

  • Data Management and Reporting
    • Keep facility data, documentation, and building drawings current and accessible.
    • Deliver monthly KPI dashboards and yearly benchmarking data for budgeting and performance tracking.

 

  • Business Continuity and Incident Response: Organize BCM drills, convene emergency meetings, and ensure readiness for natural calamities or disruptions.
  • Asset and Services Coordination: Oversee office assets, coordinate ordering with Admin and IS, and manage company mobile program transactions.
  • People Leadership and Collaboration: Provide guidance to front office and facility support staff, set routines, and run weekly facility-related operations huddles. Act as mentor for peer professionals.
  • Ad Hoc Support: Assist with special projects, events, and other facility-related tasks as needed

 

  Your background:

  • Bachelor’s degree in facilities, engineering, architecture or related field is preferred
  • Minimum 8 years in office facilities or property administration with multi-site coordination in the Philippines.
  • Experience driving developed processes within facility
  • Ability to lead processes, projects and a business process within facility.
  • Working knowledge of Philippine permits and safety coordination.
  • Proficiency with SAP vendor and invoice flow, VIM approvals, and expense tools.
  • Familiarity with Sphera and SIMS or similar safety and incident tools.
  • Possess strong knowledge of best practices and relevant practices, systems within facility
