As our new Digital Orders & Interaction Junior Specialist, you will be supporting the full sales and fulfillment cycle by validating orders, coordinating with cross-functional teams, and driving accuracy in every step — from quotation to invoicing and post-shipment resolution. This role will support North America market and will work on a night shift: 9pm to 6am PHT.

What you will be doing

As a key part of the Digital Orders & Interaction team, you'll create impact by Ensuring operational excellence across the order lifecycle, directly contributing to on-time delivery, customer satisfaction, and continuous process improvement..

Your main responsibilities include:

  • Validate quotations, purchase orders, and customer documentation, verifying tax, pricing, discounts, product availability, and ship-to details before creating sales orders and releasing them for fulfillment
  • Support equipment selection, pricing, and quotation preparation via email, phone, and chat to deliver a responsive customer experience
  • Monitor order ETAs and tracking details, manage inventory reservation contracts, and maintain the inventory constraint tracker to ensure timely delivery
  • Handle post-shipment concerns including returns, refunds, shipment disputes, credit and rebill, and write-offs while collaborating with Collections to escalate aging cases
  • Coordinate with Sales, Delivery, Logistics, and Operations stakeholders to streamline workflows, minimize errors, and identify opportunities for process improvement
  • Create and extract invoices and review customer accounts for accuracy to ensure all requests and changes are processed correctly

What makes you a great fit

Above all, you are a detail-oriented professional with strong organizational skills, a customer-first mindset, and the ability to manage multiple priorities across a fast-paced order management environment. We would also imagine that you have:

  • 1+ year of experience in order management, sales support, or a related back-office operations role
  • Proficiency in ERP systems (e.g., SAP) and Microsoft Office, particularly Excel
  • Strong attention to detail with the ability to validate complex order and pricing information accurately
  • Excellent written and verbal communication skills for cross-functional coordination and customer-facing interactions

It is a plus if you also:

  • Experience with CRM or order management platforms such as Salesforce or Oracle
  • Familiarity with supply chain, logistics, or inventory management processes
  • Background in continuous improvement or process optimization initiatives
