In this role, you will report to the VP for Solutions & Marketing and the VP & Regional Sales Director DBS Western Europe. You will support both leaders in everyday matters. 

 

What is the job about? 
As a part of the Solutions and Marketing Management Team and Western Europe Trade Management team your role is vitally important and a major contributor to ensuring that the daily life of both team runs effectively and smoothly.

You will be teaming up with the Chief Secretary to support with tasks relating to the Global Management Team. Furthermore, you will collaborate with colleagues across the organization as you will be a part of our internal Secretarial network. 

 

Your main responsibilities: 

  • Coordinating meetings, conferences, workshops, travelling, inquiries (external/internal), mails.
  • Meeting preparation: Planning, coordinating, practical implementation of meetings including action log and follow-up, and make sure relevant materials needed are available.
  • Support management communication to the teams and a wider DBS audience.
  • Monthly reporting on KPI and user of SAP programs (P20, P21, P25/QP).
  • Budget follow-up at department level.


Your background: 
You will act as a central staff member and a go-to-person in a large organization. To be successful in this position, you must be motivated by providing service and be able to act proactively and flexible.
 
You are independent and maintain a sense of perspective, staying calm, efficient, and effective in high-pressure situations. You ensure excellent quality no matter the assignment type or scope. It is important that you are structured and that you can juggle different tasks simultaneously without missing any.
 
Furthermore, we imagine that:  

  • You have Secretarial experience and competencies from Executive level.
  • You have experience in planning, communication, and coordination in a large international organization.
  • You communicate effectively at all levels of an organization. 
  • You are structured and well-organized while also being open-minded. 
  • You possess excellent communication skills and communicate fluently in spoken and written English.
