As our new Digital Order & Interaction Junior Specialist, you will be coordinating digital order processing and customer interactions, serving as a critical link between our Manila operations and the US Customer Sales & Support Center (CSSC) Front Office team.
This role will support our North America market; hence, will work on a Night shift schedule: 9pm to 6am PHT.
What you will be doing
As a key part of the Digital Orders & Interaction team, you'll create impact by Ensuring accurate and timely order fulfillment that keeps Grundfos customers confident in every transaction they make with us..
Your main responsibilities include:
- Monitor and manage the CSSC (CRM) inbox, ensuring all requests are reviewed, actioned, and closed within the ~24-hour target
- Perform manual sales order entry across Standard, Free of Charge, Aftermarket, Data Center, and Project orders, confirming POs are saved as complete and without issues
- Manage OEM EDI orders including review and release, and handle Extranet order release processes
- Review requests including Extranet-related requests, and perform CRM tagging and re-tagging
- Review requests related to credits, debits, standard returns, SAJ, and financial disputes prior to processing
- Provide first-contact resolution for basic customer inquiries and escalate complex cases to the US CSSC Front Office team
What makes you a great fit
Above all, you are a detail-oriented professional with strong customer service instincts, comfort navigating order management systems, and the ability to collaborate effectively across global teams. We would also imagine that you have:
- Proven customer service experience in a shared services, BPO, or order management environment
- Strong attention to detail with the ability to manage high volumes of orders and requests accurately
- Proficiency in English, both written and verbal, with confident cross-cultural communication skills
- Familiarity with CRM platforms and order processing workflows
It is a plus if you also:
- Experience with SAP S/4 HANA – Sales & Distribution module (Order-to-Cash process)
- Exposure to Electronic Data Interchange (EDI) order management or e-commerce order platforms
- Experience working with US-based teams or in a global shared services setup
