As our new Administrative Assistant (temporary contract), you will be overseeing day-to-day office operations, facilities management, and administrative support in partnership with the Office Manager — driving workplace initiatives, managing budgets and vendor relationships, and championing employee engagement across the organization.

This position is a temporary, fixed-term assignment of 6 months and follows a hybrid work model out of our Oakville, ON office.

 

What you will be doing

As a key part of the Office Operations team, you'll create impact by ensuring seamless office operations and fostering a positive employee experience that enables our teams to focus on pioneering solutions for the world's water and climate challenges.

Your main responsibilities include:

  • Manage day-to-day office operations, facilities, and service provider relationships to ensure a well-functioning workplace.
  • Provide administrative support to leadership, including coordinating employee documentation, onboarding/offboarding logistics, and IT support activities.
  • Oversee office budgets, procurement, invoice processing, and cost control initiatives to drive financial efficiency.
  • Lead office and facility-related projects from planning through execution, ensuring timely delivery.
  • Support travel and expense processes as a Concur Super User and coordinate company asset management.
  • Drive employee engagement initiatives, organize corporate events, and manage company fleet operations including vehicles, insurance, and compliance.

Above all, you are a detail-oriented and resourceful professional with strong organizational skills, the ability to juggle multiple priorities with ease, and a genuine passion for creating efficient, well-run workplaces. We would also imagine that you have:

  • Previous administrative, clerical, or office support experience.
  • Proficiency with Microsoft Office Suite, particularly Excel, Word, and Outlook.
  • Strong written and verbal communication skills with excellent attention to detail.
  • Demonstrated ability to handle confidential information with professionalism and discretion.

It is a plus if you also have:

  • Experience with document management systems, databases, or enterprise software (e.g., SAP Concur).
  • Background in budget management, procurement, or vendor contract oversight.
  • Experience coordinating employee engagement programs or corporate events.

 

The salary range for this position is $60,400 to $82,370. Individual pay will be determined based on market location and the candidate’s profile.

Grundfos salary rates are benchmarked and reflect the target for new hire salaries for the position in Oakville, ON.
