As our new Academy Administrative & Hospitality Coordinator, you will be providing essential administrative, hospitality, and event logistics support for the Grundfos Academy Americas, ensuring every training session and guest visit runs seamlessly. What you will be doing:
As a key part of the Grundfos Academy Americas team, you'll create impact by enabling impactful learning experiences by ensuring our academy facilities, events, and hospitality services operate smoothly for employees and training guests across the organization.
Your main responsibilities include:
- Coordinate meeting and event logistics including room bookings, calendar management, attendance tracking, badging, and tour scheduling across divisions
- Set up, refresh, and clean hospitality and refreshment stations; order catering for events while managing dietary requirements and budget
- Prepare training event collateral (name tents, agendas, swag) and configure meeting rooms with proper table layouts, AV equipment, and demo units
- Maintain inventory of hospitality supplies, swag, PPE, and demo equipment—tracking condition, location, and reorder needs
- Ensure AV and digital displays are operational before events, liaising with Facilities and IS to resolve equipment issues promptly
- Support pre-event communications to attendees and coordinate post-event cleanup and facility maintenance with the Facilities team

- Strong organizational and time management skills with the ability to support multiple activities simultaneously
- Excellent communication and interpersonal skills with a service-oriented mindset
- Basic experience in administrative support, hospitality, or event coordination—or a strong interest in developing in this area
- Ability to collaborate effectively with cross-functional teams including training facilitators, facilities, and IS
It is a plus if you also have:
- Experience supporting corporate training programs, learning environments, or academy-style operations
- Familiarity with scheduling tools, learning/event coordination processes, or facility management systems
- Experience with inventory tracking or managing training materials and equipment
The salary range for this position is $26.00 to $ 36.00 per hour. Individual pay will be determined based on market location and the candidate’s profile. The range listed is just one component of Grundfos’s total compensation and benefits package for employees.
